ProxiQ is a multi-tenant AI platform operated by Lerma Architecture Advisors. This privacy policy describes how we collect, use, and protect information submitted through our platform and its products including CoachForge and PartnerForge.

2. Information We Collect

Professional onboarding (coach.proxiq.ai, partners.proxiq.ai)

• Full name and professional credentials
• Business name and description
• Communication style and voice preferences
• Social media handles and affiliate links
• Notification email address

Prospect intake — CoachForge (shift.proxiq.ai)

• Full name, email address, phone number
• LinkedIn profile URL
• Current role and professional context
• Goals and challenges

Prospect intake — PartnerForge (wellness.proxiq.ai)

• Full name, email address, phone number
• Social media handles
• Health concerns and wellness goals
• Medical history including conditions, medications, surgeries, and allergies
• Personal health context and history

3. How We Use Your Information

Professional onboarding information is used to:

• Configure your platform account
• Personalize AI-generated content to match your voice and style
• Deliver your daily content digest
• Improve content quality through your feedback

Prospect intake information is used to:

• Notify the professional you engaged with of your submission
• Generate a personalized wellness education report (PartnerForge only)
• Support follow-up conversations between you and the professional

4. Health Information

PartnerForge collects health-related information through the wellness intake form. This information is classified as Protected Health Information under HIPAA. We handle this information in accordance with our HIPAA compliance program including a signed Business Associate Addendum with Amazon Web Services.

Health information is used solely to generate personalized wellness education content and is never sold, shared with third parties, or used for advertising purposes.

5. Data Storage and Security

All data is stored on Amazon Web Services infrastructure in the United States.

• All data is encrypted at rest using AES-256
• All data is encrypted in transit using TLS
• Access to data is restricted to authorized platform functions only
• All data access is logged via AWS CloudTrail
• Database backups are retained for 35 days

6. Data Sharing

We do not sell your personal information. We do not share your information with third parties for advertising purposes.

We share information only in these circumstances:

• With the professional you engaged with through our platform forms
• With AWS as our infrastructure provider under a signed Business Associate Addendum
• When required by law or legal process

7. Email Communications

By submitting a form on our platform you consent to receive email communications related to your submission including:

• Submission confirmation emails
• Wellness education reports (PartnerForge)
• Follow-up communications from the professional you engaged with

You may opt out of email communications at any time by contacting us at jonathan@lermaadvisors.com.

8. Data Retention

• Professional account data: retained while account is active
• Prospect intake data: retained for the duration of the professional relationship
• Audit logs: retained for 365 days minimum
• You may request deletion of your data at any time by contacting us

9. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Opt out of communications at any time
• File a complaint with relevant authorities

If you submitted health information through our wellness intake form you have additional rights under HIPAA including the right to:

• Access your health information
• Request corrections to your health information
• Request an accounting of disclosures

Our platform does not use tracking cookies or advertising cookies. We do not use third-party analytics services.

12. Changes to This Policy

We may update this privacy policy from time to time. We will update the effective date at the top of this page when changes are made. Continued use of our platform after changes constitutes acceptance of the updated policy.
